Choose a maintenance system by the work it must do: connect to your ERP, keep technicians working offline, and preserve an auditable asset history. Compare documented hosting, integration and AI options below, then take the same eight tests into each supplier demonstration.

Vendor-documented capabilities, not independent performance scores. A cloud entry does not rule out an unlisted deployment model; a named connector does not establish its price or scope.

Cloud CMMS or self-managed?
IBM Maximo, MPulse and Maintenance Connection explicitly offer a self-managed or local option in the reviewed sources. That is a starting point for an IT discussion, not evidence of air-gap compatibility. Ask which authentication, licensing, updates, mobile synchronization and AI services still require external connections.

Eight tests before signing a CMMS contract
A polished demo can skip the awkward cases: repeated events, network loss, conflicting edits and incomplete manuals. This RFI checks those cases explicitly. Keep the test record and written commercial scope beside each supplier's response.
Hosting and exit
Name hosting region, subcontractors, backup owner and recovery objectives. Export assets, work orders, attachments and IDs.
Evidence to keep: Written hosting terms; a usable linked export; restoration demonstrated.
ERP and OT integration
Create, update and replay one event in both systems. Disconnect the link and reconnect. Include units and timezone.
Evidence to keep: Correct mappings, retries and audit trail; no lost or duplicated transactions.
Offline field work
Load an assigned work order, disconnect the device, add readings and a photo, then reconnect after another user edits it.
Evidence to keep: Documented offline scope and conflict handling; no silent overwrite.
Preventive maintenance
Schedule one calendar PM and one runtime PM. Record a missed interval and a deferred task.
Evidence to keep: Correct next due date and meter units; visible exception and approval history.
AI output review
Use a manual with known answers and an unanswerable question. Check numerical units, citations and approval before writing data.
Evidence to keep: Traceable sources; errors identified; human approval; permissions enforced.
Parts and costs
Reserve, issue and return a part against a work order. Post labour and cost to the ERP.
Evidence to keep: Inventory balance reconciles; cost codes and currency match; no double posting.
Access and audit
Try technician, contractor and administrator accounts on the same restricted asset and closed work order.
Evidence to keep: Least-privilege access and attributable changes; exportable audit records.
Total quoted scope
Request the same user count, sites, connectors, storage, support, implementation and AI modules from each supplier.
Evidence to keep: Itemized recurring and one-time charges; documented limits, renewal and exit terms.
Compare AI by task, not by badge
Limble describes manual-to-PM generation and nameplate recognition; MaintainX documents manual search, work-task assistance and separate anomaly features. Fiix Foresight focuses on maintenance insights and forecasting. These are different jobs, so a single AI score would conceal more than it explains. See the linked product sources in the matrix.
For procedure generation, check the source page, asset model, interval and units. For condition analytics, ask for the prediction horizon, false alerts, missed failures and the population used to evaluate the model. None of those performance results has been measured by Inzonex in this comparison.
Use the datasheet extraction packet for a separate document-reading test. A successful extraction is not proof that a system can diagnose a fault or authorize maintenance.
Questions buyers ask
Which CMMS can be hosted on our own infrastructure?
The reviewed sources explicitly describe client-managed or local deployment for IBM Maximo, MPulse and Maintenance Connection. For the other seven products, this table records cloud documentation, not proof that every other deployment option is unavailable. Confirm the edition and support terms.
Does an integration listing mean the connector is included?
No. A listed integration may require a paid connector, middleware, an implementation project or a particular plan. Ask for the supported objects, direction of synchronization, failure handling, ongoing owner and total quoted cost.
Does AI in a CMMS mean it predicts equipment failure?
No. Searching manuals, drafting procedures, detecting duplicate requests and analyzing machine condition are different tasks. A threshold rule is not a machine-learning model. Test the exact capability and keep a human approval step for maintenance instructions.
Is this a tested ranking of the best CMMS?
No. It is a dated comparison of public vendor documentation for ten products already in the Inzonex catalogue. We have not measured their accuracy, reliability or implementation time. The downloadable demonstration tests let buyers collect comparable evidence.
Methodology, citation and reuse
Ten existing catalogue products. Vendor documentation review, not hands-on performance testing or a market-wide ranking. Availability, hosting region, connector scope and plan entitlement must be confirmed in writing. Products are retained from the existing CMMS category, in its original order. They were not selected or ordered by an affiliate bid, review score or an observed market share. Assistant and analytics labels describe the capability summarized here, not every function the product offers.
The chart and CSV are a dated comparison. No daily freshness, measured vendor benchmark or guaranteed integration is implied. The RFI and demonstration questions are original Inzonex evaluation criteria, not vendor claims.
