What a CMMS is for
A computerised maintenance management system does four things: holds the asset register, schedules preventive work, records what was actually done, and manages the parts needed to do it. Everything else vendors sell is built on those four.
The purpose is not scheduling. It is having a defensible record of what happened to each asset — which is what makes reliability analysis, warranty claims, regulatory inspection and capital planning possible at all.
Feature lists will not differentiate the market for you
Every serious product in this category has work orders, PM scheduling, asset hierarchy, parts inventory, mobile access and reporting. Comparing those is how evaluations waste weeks. The differences that decide the outcome are these:

The costs that are not the licence
- Getting the asset register right. Most sites discover their register is incomplete, duplicated or inconsistent only when they try to import it. This work is unavoidable and it is where implementations slip.
- Building the PM library. The system schedules what you tell it to. Deciding the right intervals and task content is engineering work no vendor supplies.
- Training, twice. Once at go-live, again six months later when the workarounds have set in.
- Data cleanup as an ongoing task. A register decays; someone has to own it.
Why implementations fail
Almost never for technical reasons.
- Technicians do not use it. If closing a work order on a phone is slower than writing on a clipboard, the clipboard wins and the data is fiction.
- The PM library was imported unchanged. Carrying over intervals nobody believes in produces a system that generates work everyone ignores.
- No owner for the asset register. It decays quietly until reports stop matching reality.
- Reporting built for management, not for maintenance. If the people entering the data get nothing back from it, entry quality falls.
The single best predictor of success is whether the people who close work orders find the system faster than paper. Test that before anything else.
